Email Account Details

Server Settings for Email Clients

Thunderbird Setup

1 Download & Install

Download Thunderbird from www.thunderbird.net

2 Add Your Account

• Open Thunderbird
• Go to Tools → Account Settings (or click the hamburger menu)
• Click Account Actions → Add Mail Account

3 Enter Your Information

• Your name: Your full name
• Email address: [email protected] (your assigned email)
• Password: Your email password (from welcome email)
• Click Continue

4 Manual Configuration

Thunderbird may not auto-detect settings. Click Manual config and enter:

5 Test & Finish

• Click Re-test to verify settings
• Click Done to finish setup
• Thunderbird will download your emails!

Outlook Setup (Desktop)

1 Add Account

• Open Outlook
• Go to File → Add Account
• Enter your email: [email protected]

2 Advanced Setup

• Click Advanced options → Let me set up my account manually
• Select IMAP

3 Enter Server Settings

Use the same server settings as Thunderbird (above)

Apple Mail Setup (macOS/iOS)

1 Add Account

• macOS: System Preferences → Internet Accounts → Add Account → Other Mail Account
• iOS: Settings → Mail → Accounts → Add Account → Other

2 Enter Information

• Name: Your name
• Email: [email protected]
• Password: Your password (from welcome email)

3 Manual Server Settings

If auto-configuration fails, manually enter the IMAP and SMTP settings from above.

Security Best Practices

• Use a strong, unique password (12+ characters)
• Never share your password with anyone
• Use IMAP (not POP3) to sync across devices
• Keep your email client and apps updated
• Enable two-factor authentication on Matrix (coming soon)
• Be cautious of phishing emails

Troubleshooting

Can't connect to server?

• Verify you're using mail.fetchit-ai.com as the server
• Check your password is correct (case-sensitive)
• Ensure ports 993 (IMAP) and 465/587 (SMTP) aren't blocked by your firewall
• Try disabling VPN if connection fails

Authentication failed?

• Make sure you're using your full email address as the username ([email protected])
• Verify your password hasn't been changed
• Check if caps lock is on
• Contact admin for password reset if needed

Can't send emails?

• Ensure SMTP authentication is enabled in your client
• Try port 465 (SSL) if 587 (STARTTLS) doesn't work
• Verify your username and password are correct
• Check your email quota hasn't been exceeded (5GB limit)

Emails going to spam?

• Ask recipients to add you to their contacts
• Check your message isn't triggering spam filters (avoid all caps, excessive links)
• Report persistent issues to admin
